Feedback Workflow Guide

Learn how to efficiently manage, filter, and process feedback in Miniback.

⚡ Essential Actions

  • View feedback: Go to All Feedback or Project → Feedback tab
  • Change status: Click feedback → Select NEW/REVIEWED/RESOLVED
  • Batch update: Enable selection (checkbox icon) → Select items → Choose action
  • Filter: Use status tabs, project dropdown, or date range picker
  • Export: Click “Export CSV” (exports filtered results)

Status flow: NEW (unread) → REVIEWED (in progress) → RESOLVED (done)

Understanding Feedback Status

Status Progression

Feedback moves through three states:

NEW → REVIEWED → RESOLVED

NEW (Yellow)

  • Initial state when feedback is submitted
  • Indicates unread/unprocessed feedback
  • Requires attention

REVIEWED (Blue)

  • Feedback has been read and acknowledged
  • Under investigation or consideration
  • Action may be in progress

RESOLVED (Green)

  • Issue fixed, feature implemented, or question answered
  • Feedback addressed
  • User satisfied (ideally)

Changing Status

Individual feedback:

  1. Click on feedback item to open details
  2. Click status dropdown
  3. Select new status
  4. Saves automatically

Batch status update:

  1. Enable batch selection (checkbox button in toolbar)
  2. Select multiple feedback items
  3. Click status action button
  4. Choose “Mark as REVIEWED” or “Mark as RESOLVED”

Feedback Dashboard Overview

Stats Cards

At the top of the feedback page:

  • Total Feedback: All feedback across selected filters
  • NEW: Unprocessed feedback (with percentage)
  • REVIEWED: In-progress feedback (with percentage)
  • RESOLVED: Completed feedback (with percentage)

Feedback List

Each feedback item shows:

  • Feedback message (truncated)
  • Status badge
  • Project name
  • Submission date
  • User email (if provided)
  • Source (Widget or API)

Filtering Feedback

Quick Filters

By Status:

  • Click status tabs: ALL, NEW, REVIEWED, RESOLVED
  • Shows count for each status

By Project:

  1. Click project filter dropdown
  2. Select one or multiple projects
  3. View feedback from selected projects only

By Source:

  • Widget: Submitted via your website widget
  • API: Submitted programmatically

By Date Range:

  1. Click date range picker
  2. Select start and end dates
  3. View feedback within date range

Search functionality:

  • Type in search box
  • Searches feedback message content
  • Searches user email addresses
  • Real-time results

Search tips:

  • Use quotes for exact phrases: “bug report”
  • Search is case-insensitive
  • Partial matches work

Advanced Filtering

Combine filters:

Project: "My Website" + Status: NEW + Date: Last 7 days + Search: "checkout" = All new feedback from "My Website" in last 7 days mentioning "checkout"

Include Paused Projects:

  • Toggle to show/hide feedback from paused projects
  • Useful for archival purposes

Clear Filters

Click “Clear Filters” to reset all filters to defaults.

Batch Operations

Enabling Batch Selection

  1. Click checkbox icon in toolbar
  2. Checkboxes appear next to each feedback item
  3. Select items individually or use “Select All”

Batch Actions

Mark as NEW:

  • Resets feedback to unprocessed state
  • Use if accidentally marked wrong status

Mark as REVIEWED:

  • Bulk acknowledge feedback
  • Indicates you’ve seen and are considering it

Mark as RESOLVED:

  • Bulk complete feedback
  • Use after fixing issues or implementing features

Delete:

  • Permanently remove feedback
  • Confirmation modal appears
  • Cannot be undone

Selection Tips

Select All on Page:

  • Checks all visible items (current page only)
  • Respects current filters

Deselect All:

  • Clears all selections
  • Useful for starting fresh

Selective:

  • Click individual checkboxes
  • Build custom selection

Viewing Feedback Details

Opening Feedback

Click any feedback item to view full details.

Detail View Contains

Feedback Content:

  • Full message (no truncation)
  • User email (if provided)

Context Information:

  • Submission URL
  • Browser/User Agent
  • Timestamp (exact date and time)
  • Source (Widget or API)

Metadata:

  • Project name
  • Current status
  • Created date
  • Last updated date

Actions in Detail View

  • Change status (dropdown)
  • Delete feedback (trash icon)
  • Close modal (X or Esc key)

Exporting Feedback

CSV Export

What gets exported:

  • All feedback matching current filters
  • All fields (message, email, URL, timestamp, status, project)
  • Formatted for Excel/Google Sheets

How to export:

  1. Apply desired filters (optional)
  2. Click “Export CSV” button
  3. File downloads automatically
  4. Filename: miniback-feedback-YYYY-MM-DD.csv

Export Use Cases

Weekly Reports:

  • Filter by date range (last 7 days)
  • Export to CSV
  • Share with team

Feature Requests:

  • Search for “feature request”
  • Filter by status: NEW
  • Export for planning meeting

Issue Tracking:

  • Search for “bug” or “error”
  • Export to import into Jira/Linear

Analytics:

  • Export all feedback
  • Analyze in Excel/Google Sheets
  • Create custom reports

Pagination

Page controls:

  • Previous/Next buttons
  • Page number display
  • Jump to specific page (enter number)

Items per page:

  • Default: 10 items
  • Options: 10, 25, 50, 100
  • Dropdown in toolbar

Page info:

  • Shows “Showing 1-10 of 42”
  • Total count updates with filters

Best Practices

Daily Workflow

Morning routine:

  1. View “NEW” feedback
  2. Quickly review and mark as REVIEWED
  3. Prioritize urgent issues
  4. Update status as you work

Weekly review:

  1. Review REVIEWED feedback
  2. Move completed items to RESOLVED
  3. Archive or delete spam/duplicates
  4. Export for team reports

Status Discipline

NEW → REVIEWED:

  • Mark REVIEWED when you’ve read and acknowledged
  • Don’t leave feedback in NEW for days
  • Shows users you’re responsive

REVIEWED → RESOLVED:

  • Mark RESOLVED only when truly complete
  • Include internal notes if needed
  • Maintains accurate metrics

Don’t skip steps:

  • NEW → RESOLVED (skipping REVIEWED) loses tracking data
  • Hurts analytics accuracy

Organization Tips

Use projects wisely:

  • Separate projects for different products
  • Separate projects for priority levels
  • Example: “Website Feedback”, “App Feedback (Priority)”

Search shortcuts:

  • Common searches: “bug”, “feature”, “crash”, “slow”
  • Save search terms in notes

Regular cleanup:

  • Archive old resolved feedback (export first)
  • Delete spam immediately
  • Keep NEW tab clean

Mobile Usage

The feedback dashboard is mobile-responsive:

Mobile view:

  • Condensed card layout
  • Swipe to reveal actions
  • Tap to view details
  • Filter drawer (hamburger menu)

Touch gestures:

  • Swipe left: Quick delete
  • Swipe right: Quick status change
  • Long press: Batch selection

Troubleshooting

Feedback not showing:

  • Check filters - might be filtering out results
  • Check “Include Paused Projects” toggle
  • Verify feedback exists in database

Can’t change status:

  • Check if project is paused (only allowed on active projects)
  • Refresh page and try again

Export not working:

  • Check if any feedback matches filters
  • Try with fewer filters first
  • Check browser download settings

Batch actions not working:

  • Ensure feedback is selected (checkboxes checked)
  • Try with smaller batch (< 50 items)
  • Refresh and retry
